Mountain Estates Property Management serves owners of high-value second and third homes around Park City, Utah. The company differentiates through close attention to property condition and long-term care, including weekly property inspections rather than occasional check-ins.

A mobile-first platform shortened weekly inspections, generated photo-backed reports, and gave owners one place to follow property work and request services.

The challenge

Weekly inspections were paper-based and deeply customized for each home. Each property had its own inspection template, often with approximately 200 items. Onboarding a house could take hours, each inspection took two to two-and-a-half hours, and the team then had to scan paper pages before homeowners could receive the report. The workflow made it difficult to maintain a consistent inspection experience while taking on more properties.

The solution

The first workflow

Lawlor Solutions began with the weekly inspection workflow and built a mobile-first operations platform around it. Reusable templates, including property equipment and vehicle templates, let the team configure a house to its exact needs. A typical onboarding can now take less than 15 minutes.

What real use showed

Inspectors use clear status choices such as passed, needs attention, urgent, and not applicable, and attach photos during the inspection. Inspection history is stored in one place. The system automatically generates and shares a PDF report with the relevant people.

How the software expanded

From that inspection foundation, the platform grew naturally into an all-in-one property-care experience. Owners can review urgent and attention-needed items, while the system creates action items for property-management staff, supports repair quotes for owner approval, and tracks timelines and maintenance requests. Owners can also notify the team about an arrival and request transportation pickup, grocery stocking, or other home-preparation services. The property-management team receives and acts on those requests in the same system.

The outcome

Inspection time dropped from two to two-and-a-half hours to 45 minutes or less, and property onboarding can save up to five hours. Owners receive photo evidence and reports promptly. Instead of texting the company owner, they submit requests in the app and can see the assigned person, estimated completion time, and live progress. The software did not create growth by itself, but the more efficient workflow gave the team capacity to support additional clients it could not have supported under the paper-based process.
